Terms and Conditions of Registration
- The ICAR Organisers will endeavour to deliver the Conference as described on the Conference website: https://www.geog.ox.ac.uk/events/icar2026/index.html. However, the Organisers reserve the right to make alterations to the Conference including the timetable, location, content, and logistical arrangements in response to operational demands.
- Delegates registering for the Conference agree to pay the registration fees (at the appropriate rate) in full prior to attending the Conference. Delegates who have not paid the appropriate registration fee in full will be unable to participate in the Conference.
- The Conference Organisers may cancel the Conference by giving notice by email to delegates at any time before the Conference is due to start. In such circumstances, delegates will be refunded their registration fee less any amounts that the Conference Organisers have already paid in organising delivery of the Conference that cannot be recovered from suppliers. The maximum liability of the Conference Organisers in these circumstances is limited to the registration fee the delegate has paid. The Organisers cannot accept liability for any further costs or losses incurred by participants which are claimed to have arisen due to the cancellation of the Conference. Participants are strongly advised to take out insurance against cancellation of the Conference if travel costs are likely to be substantial.
- Delegates may cancel their Conference registration 60 days before the event to receive a full refund less the delegate’s share of any amounts that the Conference Organisers have already paid in organizing delivery of the Conference that cannot be recovered from suppliers. Registrations cancelled less than 60 days before the event are no longer eligible for a refund.
- Delegates registering for the Conference agree to observe reasonable standards of behaviour, to conduct themselves with good manners and with consideration and respect for others, and not to damage property in any way. The Conference Organisers cannot be held liable for any damage caused by delegates at the Conference venues, Gobabeb–Namib Research Institute, transportation provided by the Conference Organisers, or other venues provided by the Conference Organisers.
- Delegates must not take photos or videos of others’ work presented at the conference without permission from the relevant author of the work.
- Delegates agree to obey all health, safety, and conduct instructions given by Conference Organisers. This includes instructions for attendance on the field day at the Gobabeb–Namib Research Institute. All delegates should ensure they are fully insured for travel and attendance at Conference activities.
- Delegates agree to take responsibility for organising appropriate visa and travel documentation for attendance at the Conference. The Conference Organisers cannot accept liability for any losses incurred as a result of immigration difficulties or delay.
- The Conference Organisers will endeavour to deliver the Conference as described on the Conference website: https://www.geog.ox.ac.uk/events/icar2026/index.html. Delegates must take responsibility for organising all other aspects of their attendance. This includes, but is not limited to, travel to the conference venue (including internal transfers), accommodation, subsistence (unless otherwise specified), immigration and visa requirements, and insurance. Conference Organisers cannot accept liability for any losses incurred as a result of difficulties arising with these issues.
- These terms and conditions shall be governed by and construed in accordance with English law. In the event that mediation is unable to resolve any issue, the English Courts shall have exclusive jurisdiction to deal with any dispute which may arise out of or in connection with these terms and conditions.
