Registration for the conference

Thank you for your interest in coming to ICAR XII in Swakopmund, Namibia!
All delegates and accompanying persons must register in advance as there will be no opportunity to register at the conference venue itself.
Important information
- ALL attendees involved in any part of the conference must be registered. This includes attendees on the pre- and post- conference field trips, the oral and poster conference sessions, the mid-week field trip to Gobabeb, and the conference dinner on the Friday evening. This includes accompanying persons. Registration enables us to collect the details necessary for the visa application process and information concerning any personal requirements (eg. access needs, dietary requirements).
- In registering you will be asked to supply information concerning your date of birth and passport number. This is required for all non-Namibian citizens for the necessary visa application process (see information about visas for entry into Namibia). These details will only be used by the conference organisers for the purposes of visa applications and will be deleted as soon as they have been forwarded to the Ministry of Home Affairs in Namibia, as we are required to do. Your data will be held securely in accordance with the University of Oxford policies and procedures on data protection.

- Note that international delegates and accompanying persons must register for the conference BEFORE applying for a visa for entry into Namibia. However, we suggest that you consult the information about visas for entry on the conference website prior to registering so you are aware of the process and requirements. This includes delegates coming from countries which are normally exempt from visa requirements as a visa is required to enter Namibia if you are presenting at the conference.
Navigating the registration site
- Registration is via the University of Oxford Online Shop. To use the online shop you will be asked to register for an account. If you have previously registered but have forgotten your password please press the ‘forgotten password’ link and follow the instructions.
- As you commence registration you will first be asked to confirm the number of guests/accompanying persons you wish to add to your registration. This confirmation is required even if the number of accompanying persons is zero.
- If you are buying for more than one delegate (e.g. a PhD student you are supervising, not an accompanying person) it is best to undertake each transaction separately. In other words, buy your ticket (plus any accompanying person), then check out and pay. Then restart a new purchase for the additional delegate (e.g. your PhD student).
- At the same time as registering themselves, delegates may also register and pay for one accompanying person for the mid-week Gobabeb fieldtrip and/or the Friday dinner. Note there is a limit on the total number of accompanying persons that can be registered so do register guests as soon as you can.
- Delegates attending either of the pre- or post-conference fieldtrips should also register the details of any accompanying persons that have been accepted onto the trip by the fieldtrip leader. This is necessary so that details can be collected for visa application purposes.
- When registering an accompanying person the system will ask for the delegate’s details first. Once these are complete the system will then ask for the accompanying person’s details on the next page. On this following page (the top banner identifies ‘Guest’), please make sure to replace the delegate’s name and email address (which will be pre-populated) with the accompanying person’s name and email address.
- When you register you will be asked about your role in the conference. These details are required as part of the visa application process. You must choose one of the following options:
- Presenter - you are presenting in an oral/poster session.
- Participant - you are an audience member or an accompanying person on any of the pre- or post- conference field trips and/or the mid-week field trip to Gobabeb.
- Neither - you are an accompanying person for the Friday dinner only.
- If the registration site fails to function for whatever reason, please navigate back to the home page, go to ‘my account’, and logout. Then use the weblinks to the ICAR registration page to log-in and restart your registration.
- Payment may be made by Mastercard, Visa, Visa Debit or Visa Electron. If you do not have access to one of these cards, please contact the conference organisers.

Reduced Registration Fees and travel awards
- Students are eligible for a reduced registration rate. To benefit from the student rate you must be a fully-registered student (undergraduate or postgraduate) at a higher education institution.
- Attendees who are students, early-career researchers, or from under-represented communities may apply for an ISAR travel award for financial support to attend the conference. Further details about the ISAR awards are available here.
- Fully retired delegates are eligible for a reduced registration fee.
- Full (paid) members of the International Society for Aeolian Research (ISAR) receive a substantial discount on registration costs. You may join ISAR here prior to registering for ICAR.
- Delegates from Namibia, other SADC countries, and from Low and Lower-Middle Income countries (LLMIC) also receive discounted registration.
Registration Categories and Rates
- Full and Student/Retired registration includes participation in all the conference sessions during the week, the mid-conference fieldtrip to Gobabeb (including transport, lunch, and refreshments), the Friday evening dinner, and complimentary membership to the Swakopmund Museum. Note that accommodation and other meals are not included in the registration fee.
- Day registration (available to Namibian, SADC and LLMIC delegates only) includes participation in all the oral and poster conference sessions on the specific day of registration. Delegates who purchase a day ticket but also wish to attend the Friday evening dinner and/or the mid-week fieldtrip to Gobabeb should register for the required additional items as an ‘accompanying person’. Note that accommodation and other meals are not included in the registration fee.
- Accompanying persons may register to attend the mid-week fieldtrip to Gobabeb (including transport, lunch, and refreshments) and/or the Friday evening dinner. Note that accommodation and other meals are not included in the registration fee.
*Please note that all non-Namibian accompanying persons on the pre- and post-conference fieldtrips must register for the conference (at no cost) to provide the details necessary for visa application.
